Overview

This article is a compiled list of Aeropay terminology across our products. This article also references different products; please utilize the links to view in-depth articles for each.






Merchant Portal Terminology

Below are the terms used in the Merchant Portal, separated by the different Tabs. Clicking on the links will bring you to the specific article that walks through each Tab.



Payments Tab

Below are the terms used in different sections on the Payments Tab. For more information on how to use the Payments Tab, please view this article.



Transaction Types

Here are our 3 types of transactions that merchants can utilize:

Preauthorized Transaction → A transaction in which the payment amount is authorized by the customer's bank. The transaction amount can be edited before it is captured for batching and settlement

Standard Transaction → A transaction in which the payment amount will immediately be captured for batching and settlement

Subscription Transaction → A recurring transaction (monthly or yearly) based on subscriptions set up inside the Merchant Portal



Transaction Table

Here's what each column in the transaction table represents (grouped accordingly):

Date → the date and time the transaction was initiated

Payment ID → a unique identifier for the payment used for internal tracking

  • Lightning Bolt Icon → this transaction is marked as an RTP (Real Time Payment)

Status → the current state of the transaction

  • Complete → the payment has processed
  • Resolved → a declined payment was successfully retried and captured
  • Declined → the payment has declined (the 'i' next to the status will give more information on the type of decline, including the R code)
  • Void → the payment was canceled, voided, or fully refunded before processing

Name → the name of the customer who completed the transaction

Charge → the dollar amount charged to the customer (excluding tip)

Tip → any tip amount added by the customer during checkout

Charge + Tip → the total value of the transaction, including tip

Payout → the amount paid out to the customer (if applicable)

Fee → the total fee deducted from the transaction

Reward → any cashback, incentive, or discount applied to the transaction

Net Amount → the final amount the merchant receives (Charge + Tip - Fee - Reward).

Invoice → the invoice or reference ID tied to the transaction (if applicable)

Location Info → the name of the location where the transaction occurred

Merchant ID → a unique identifier for the merchant account

User ID → the ID of the customer who completed the payment

Location ID → the internal ID of the location or store where the transaction took place



Transaction Table Filter

Here's what each filter for the transaction table represents:

Payment Status → the current status of the transaction

  • Complete → the payment has processed
  • Resolved → a declined payment was successfully retried and captured
  • Declined → the payment has declined (the 'i' next to the status will give more information on the type of decline, including the R code)
  • Void → the payment was canceled, voided, or fully refunded before processing

Payment Type → the category of the transaction

  • Payment → a payment from the customer to the merchant
  • Payout → a disbursement from the merchant to the customer
  • Refund → a refund for the payment was successfully processed
  • Refund Queued → a refund payment that is queued for processing

Reputation Status → the trust level of the customer based on your business's criteria

Payments Per Page → the number of transactions displayed per page in the portal



Transaction Table Search Bar Filter

Here's what each filter for the transaction table search bar represents:

Name → the customer's full name associated with the transaction

Payment ID → the unique identifier assigned to a specific payment

Charge Amount → the dollar amount that was charged for the transaction

Location ID → the internal identifier for the location where the transaction occurred

Location Name → the name of the specific location where the transaction occurred

User ID → the internal ID assigned to the customer across the Aeropay network

Aeropass User UUID → a unique identifier tied to the customers' Aeropay account

Phone → the customer's phone number associated with their Aeropay account

Email → the customer's email address associated with their Aeropay account

UUID → a unique identifier used to track the transaction across services



Authorized Tab

Below are the terms used in different sections on the Authorized Tab. For more information on how to use the Authorized Tab, please view this article.



Pre-Authorized Transaction Table

Here's what each column in the pre-authorized transaction table represents:

Date → the date and time the pre-authorization was initiated

Auth ID → the unique identifier assigned to the authorization request

Name → the name of the customer tied to the pre-authorized transaction

Charge Amount → the total dollar amount authorized (excluding tip)

Tip → the tip added by the customer during the pre-authorization

Merchant ID → the unique identifier of the merchant account

User ID → the ID of the customer who initiated the authorization

Location ID → the internal ID of the store or location where the authorization was processed



Pre-Authorized Transaction Table Search Bar Filter

Here's what each filter for the pre-authorized transaction table search bar represents:

Name → the customer's full name associated with the transaction

Payment ID → the unique identifier assigned to a specific payment

UUID → a unique identifier used to track the transaction across services

Aeropass User UUID → a unique identifier tied to the customers' Aeropay account

Reputation Status → the trust level of the customer based on your business's criteria



Subscriptions Tab

Below are the terms used in different sections on the Subscriptions Tab. For more information on how to use the Subscriptions Tab, please view this article.



Subscription Table

Here's what each column in the subscriptions table represents:

Plan Name → the name of the subscription as it appears to the customer

Plan Type → indicates whether the plan is for customers or businesses

Frequency → how often the subscription renews (e.g. monthly or yearly)

Charge → the cost of the subscription or pricing tiers associated with the plan

Free Trials → shows whether a free trial is available and its duration (if applicable)

Subscribers → the number of customers currently subscribed to that plan



Subscription Details Page

Here's what each column in the subscriptions details page represents:

Status → indicates whether the user is currently active on the subscription

Payment ID → the full name of the customer, along with their associated user ID

UUID → the ID number of the subscription plan the user is enrolled in

Aeropass User UUID → how often the customer is charged (e.g. monthly or yearly)

Reputation Status → the dollar amount the customer is being charged per cycle

Next Charge → the date the customer will be charged next

End Date → the date the customer canceled or ended their subscription



Customer Tab

Customer Table

Here's what each column in the customer table represents (grouped accordingly):

User ID → a unique identifier automatically assigned to each customer in your system

Name → the customer's full name as it appears in their Aeropay profile

Reputation Status → indicates the trust level of the customer

  • Standard → default status for most users
  • VIP → elevated status for high-trust or priority customers
  • Blocked → prevents the user from completing future transactions

Email & Phone → contact information associated with the customer’s Aeropay account

Payment Volume → the total amount the customer has spent through Aeropay transactions

Payments → the number of completed payments made by the customer

First Payment → the date of the customer’s first successful Aeropay transaction

Last Payment → the date of the most recent payment made using Aeropay

Payout Volume → the total amount of funds paid out to the customer

Payouts → the number of payout transactions the customer has received

First Payout → the date of the customer’s first payout

Last Payout → the date of the customer’s most recent payout



Customer Table Search Bar Filter

Here's what each filter for the customer table search bar represents:

First Name → the customer's first name

Last Name → the customer's last name

Phone → the phone number associated with the customer's Aeropay account

Email → the email address associated with the customer's Aeropay account

Aeropass User UUID→ a unique identifier tied to the customer's Aeropay account



Locations Tab

Location Table

Here's what each column in the location table represents:

ID → the unique identifier assigned to the location in the system

Merchant ID → the ID of the merchant account that owns the location

URL ID → the custom identifier used in the URL path for this location

Location Info → the name and identifying details of the location

Configuration → indicates whether the location is set up with custom branding

Address → the street address of the location

City → the city where the location is based

State → the state where the location is based

Zip Code → the postal code for the location

Date Created → the date and time the location was created in the system



Access Tab

Access Table

Here's what each column in the access table represents:

Member ID → the unique identifier assigned to the team member

Name → the full name of the user who has access

Email → the email address associated with the team member’s account

Access Level → the type of access granted (e.g. admin, manager, read-only)

Primary Merchant ID → the merchant account primarily associated with the user

Location Access → the specific locations this user can access or manage



Access Table Search Bar Filter

Here's what each filter for the access table search bar represents:

First Name → the first name of the user

Last Name → the last name of the user

Email → the email address associated with the user's account

Access Level → the user's assigned permission level

  • Admin → Access to all features, including adjusting settings and granting user roles
  • Manager → Refund capabilities and access to reporting
  • Team → Ability to view totals and capture payments

Location Name → the name of the location the user has access to

Settlement Key Terms

Below are the key terms used across settlement and reporting. For more information on settlements, please view this article.

Transaction → a funding movement

Deposit → a transaction in which the customer makes a purchase from you and initiates a funding movement from their bank account to yours

Withdrawal (Payout/Redemption) → a funding movement from your bank account to a customer's bank account

Batch → a group of transactions from a single business day that are collected for processing at a set time



Transaction Reports

Below are the key terms used in transaction reporting. For more information on transaction reports, please view this article.



Here's what each column in the Transaction Report table represents (grouped accordingly):

Date → the date the transaction was initiated

Time → the time the transaction was initiated

Name → the name of the customer who completed the transaction

Payment ID → a unique identifier for the payment used for internal tracking

Status → the current state of the transaction (e.g. Pending, Complete, Void)

Charge → the dollar amount charged to the customer (excluding tip)

Tip → any tip amount added by the customer during checkout

Charge + Tip → the total value of the transaction, including tip

Payout → the amount paid out to the customer (if applicable)

Fee → the total fee deducted from the transaction

Reward → any cashback, incentive, or discount applied to the transaction

Net Amount → the final amount the merchant receives (Charge + Tip - Fee - Reward)

Invoice → the invoice or reference ID tied to the transaction (if applicable)

Merchant → the name of the merchant account

Transaction UUID → a unique identifier used to track the transaction across services



Batch Reports

Here's what each column in the Batch Report table represents:

Batch ID → a unique identifier for the batch used for internal tracking

Location Fee ID → the internal identifier for the location associated with a fee

Merchant ID → a unique identifier for the merchant account

Time → the date and time the batch deposit occurred

Transaction Deposit → the aggregated total of all the transactions included in the batch deposit

Declined Payout Deposit → lump sum of total declined ACH payouts

Payout Withdrawal → the total of payouts issued to your customers

Refund Withdrawal → the total amount of refunds issued to your customers

Fee Withdrawal → the lump sum of Aeropay fees deducted

Transaction IDs → the unique identifiers used to correlate the transactions associated with the individual batch
